Corporate account terms
These terms apply to companies with a Caledonia corporate account, in addition to our booking terms.

Opening an account
Accounts are opened after a short application and a call with your account manager. We may ask for company registration details and carry out a credit check. Your account reference and agreed rates are confirmed in writing.
Who can book
Anyone you authorise may book on the account by email, phone or online, quoting the account reference. You are responsible for bookings made by authorised bookers. Tell us promptly if someone should no longer book.
Rates
- Journeys are charged at the fixed account rates agreed for each vehicle class.
- Rates are reviewed once a year; we give at least 30 days’ written notice of any change.
- Extra stops, extended waiting or changes on the day are charged at the agreed rates and shown on the invoice.
Invoicing and payment
- One consolidated invoice is issued at the start of each month for the previous month’s journeys.
- Invoices show the date, passenger, route, vehicle, cost centre and PO reference for each journey, with VAT.
- Payment is due within 30 days of the invoice date by bank transfer or card.
- We may pause bookings on account if invoices are more than 30 days overdue.
Cancellations and changes
- Free cancellation up to 24 hours before pick-up.
- Within 24 hours: 50% of the fare. Within 3 hours, or a passenger no-show: the full fare.
- Flight cancellations are moved or cancelled free of charge.
Service standards and duty of care
Every chauffeur holds a council private hire licence and an Enhanced Disclosure Scotland check. Vehicles are under three years old and are inspected before every journey. We hold hire-and-reward and public liability insurance and provide certificates on request.
Liability
We are not liable for losses caused by delays outside our reasonable control, such as severe weather, road closures or accidents. Our total liability for any journey is limited to the fare for that journey, except where the law does not allow liability to be limited.
Data
We process passenger and booker data only to provide the service, under UK GDPR. On request we sign your data processing agreement.
Ending the account
There is no minimum term. Either side may close the account with 30 days’ written notice; journeys already booked are honoured and invoiced as usual.
